The Beaumont City Council approved a professional services agreement with Audio Services Live to provide concert production, staging, audio/visual and technical event services for the city’s Beaumont Nights concert series and other community events during the 2026-27 fiscal year.
The agreement, approved during the council’s May 5 meeting, authorizes a contract amount not to exceed $220,000 for services running from June 10 through June 30, 2027.
According to the staff report that was read by Director of Community Services Doug Story at the meeting, the contract will cover full-service production support for Beaumont Nights and several of the city’s signature events, including the Fourth of July Celebration, Día de los Muertos, Blizzard Bash and other seasonal and culturally themed programs. Services include staging, sound systems, lighting, video systems, technical labor, setup and breakdown operations and coordination with performers and the city’s entertainment booking consultant.
“This will allow us to do the staging and audio technical services for about 20 different events throughout the year ranging from our market nights to Fourth of July to some of the other events in which we have stage setup or which require sound and lighting and different things,” Story said reading the staff report. “So this allows us to work with this company throughout the year.”
The city issued Request for Proposals 26-08 on Feb. 27 seeking firms qualified to provide concert production and technical services for the upcoming event season. Two proposals were submitted by the March 27 deadline, including bids from Audio Services Live and Inland Empire Audio Visual Rentals, LLC.
Staff evaluated proposals based on understanding of the scope of services, demonstrated skills and credentials, related experience, project approach and cost effectiveness. According to the report, Audio Services Live was selected because its proposal closely aligned with the city’s required pricing structure and demonstrated strong technical capabilities and experience in municipal event production.
The report also noted that Audio Services Live has previously worked with the city on similar events, which staff said reduced implementation risk and provided confidence in the company’s ability to deliver production services successfully.
Estimated production costs are projected at approximately $10,775 per event, although costs may vary depending on event size, entertainer requirements and optional features requested by the city. Staff stated that all events and production services will be scheduled within available budget appropriations to ensure expenditures remain within approved funding levels.
Funding for the agreement is included in the city of Beaumont Community Services Department budgets for fiscal years 2025-26 and 2026-27.
